Privacy Policy for ElevateUT Disc Golf

1. Introduction

ElevateUT Disc Golf operates the ElevateUT Disc Golf website, the ElevateUT Leagues mobile app, and related league, tournament, registration, payment, scoring, and player services. This Privacy Policy explains what information we collect, why we use it, how we share it, and the choices available to you.

This policy is intended to be practical and readable. It is not formal legal advice, and it may be updated as our products, vendors, or legal requirements change.

2. Information We Collect

We collect information you provide directly, information created when you use league services, and limited technical information needed to operate and improve the service.

Account and Profile Information

  • Name, email address, password credentials for email/password sign-in, and authentication identifiers from Google Sign-In or Apple Sign-In when you choose those sign-in methods.
  • Profile details such as display name, public username, profile image, banner image, biography, PDGA number, PDGA rating or classification details, division, gender or date-of-birth details when needed for eligibility, and notification preferences.
  • Contact details such as phone number, postal code, and email address, including updated account email addresses and optional receipt email addresses.
  • Support requests, feedback, account settings, linked account status, and account deletion requests.

League, Tournament, and Player Activity

  • Registrations, tee times, divisions, waitlists, player rosters, league participation, bag tag activity, standings, scores, results, skins or side-game entries, payouts, refunds, and related event records.
  • Public player and competition information, such as display name, profile image, PDGA number, registered events, scores, standings, bag tag rankings, and other league results.
  • Information from league directors, administrators, volunteers, or partners when they manage events, process registrations, reconcile sales, score rounds, send receipts, or help support players.

Payment, Order, Payout, and Tax Information

  • Registration fees, store orders, ticket or merchandise purchases, line items, discounts, wallet or balance activity, payment status, refund status, payment intent or order identifiers, and receipt details.
  • Limited payment metadata returned by payment processors, such as payment processor IDs, transaction status, card brand or last four digits when provided, reader IDs, terminal location IDs, and reconciliation information.
  • Payout and tax compliance status, provider identifiers, and onboarding records when needed for payouts, accounting, fraud prevention, or tax reporting.

Full card numbers are processed by payment providers. ElevateUT does not directly store full payment card numbers in our application database.

Location, Device, and Permission Data

  • Approximate or precise location if you choose to use current-location features for nearby leagues, maps, or Stripe card-reader discovery. You can browse and search without sharing device GPS by using other location inputs, such as a postal code, where available.
  • Camera access only when you choose a camera-based action, such as supported scanning or payment-card entry flows. The app does not use the camera in the background.
  • Bluetooth and local network access when authorized staff use Stripe Terminal reader features for in-person payments.
  • Push notification tokens, platform, device model, operating system, app version, and notification preferences when you enable push notifications.
  • Secure local storage on your device for authentication tokens, a small profile cache, push notification tokens, and app preferences.
  • Browser and device information such as IP address, user agent, cookie identifiers, referral or campaign parameters, log data, and diagnostic events.

Analytics and Diagnostics

We collect product analytics, performance information, error reports, server logs, and diagnostic events to understand how the service is used, troubleshoot problems, improve reliability, and measure registration or checkout flows.

3. How We Use Information

  • To create, authenticate, secure, and manage accounts.
  • To operate league, tournament, registration, scoring, standings, bag tag, notification, wallet, payment, refund, receipt, payout, and support workflows.
  • To process payments and in-person card-reader transactions, reconcile orders, prevent fraud, and satisfy accounting or tax obligations.
  • To send transactional emails, SMS messages, push notifications, account alerts, receipts, league updates, and support responses.
  • To display public league and player information needed for competition, transparency, historical records, and event operations.
  • To personalize app settings, remember preferences, improve product quality, diagnose errors, measure performance, and understand feature usage.
  • To enforce policies, comply with law, protect rights and safety, and respond to legal or regulatory requests.

4. How We Share Information

We share information only as needed to operate the service, comply with law, or support league activity.

  • Payment, payout, and tax providers: Stripe, including Stripe PaymentSheet, Stripe Terminal, and Stripe Connect; PayPal; Authorize.Net; Square where used for point-of-sale, ticket, loyalty, or partner integrations; and related financial providers.
  • Authentication providers: Google and Apple when you choose Google Sign-In or Apple Sign-In.
  • Hosting, storage, infrastructure, and communications providers: Heroku, AWS services such as S3, CloudFront, and SES, Expo push notification services, Apple and Google platform push services, and Twilio for SMS where enabled.
  • Analytics, diagnostics, and monitoring providers: Google Analytics, Google Tag Manager, PostHog, New Relic, Sentry, and server-side logging or observability systems.
  • Disc golf and event partners: PDGA and event or league partners when needed for sanctioned play, player verification, eligibility, event administration, reporting, support, or fulfillment.
  • League directors, administrators, and volunteers: Contact, registration, score, order, refund, payout, and receipt details may be visible to people who need them to run events and support players.
  • Public pages and app screens: Player names, profile images, PDGA numbers, registrations, scores, standings, bag tags, results, and similar competition records may be visible to other players or the public.
  • Legal and safety: We may disclose information when required by law, to protect rights or safety, to prevent fraud, or in connection with a merger, reorganization, or transfer of operations.

5. Sale of Personal Information and Advertising Tracking

We do not sell personal information. We do not use the ElevateUT Leagues mobile app for third-party cross-app advertising tracking, and we do not use advertising SDKs to track you across other companies' apps and websites. We do use analytics and attribution tools to understand our own services and registration flows.

6. Cookies and Local Storage

The website uses cookies and similar technologies for sign-in sessions, security, preferences, analytics, attribution, and performance. The mobile app uses secure local storage for authentication tokens, profile cache, push tokens, and preferences. You can control browser cookies through your browser settings, but disabling certain cookies may prevent parts of the website from working.

7. Retention

We keep personal information for as long as needed to provide the service, operate leagues and tournaments, resolve disputes, maintain historical competition records, meet accounting, payout, tax, fraud-prevention, and legal obligations, and enforce our agreements. Account deletion removes or anonymizes many profile and contact details, but some event, score, registration, payment, refund, fraud-prevention, accounting, tax, and legal records may be retained when necessary.

8. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted transport, restricted access, secure token storage in the mobile app, and trusted payment processors for sensitive payment data. No internet or mobile service can be guaranteed to be completely secure.

9. Your Choices and Rights

  • You can access and update many profile, linked account, notification, and location settings from your account or the mobile app.
  • You can disable push notifications through app settings or your device settings, and you can opt out of many non-essential email or SMS notifications where available.
  • You can request account deletion from the ElevateUT Leagues mobile app settings or by contacting us. Deletion may require resolving open balances, payouts, or legal/accounting holds first.
  • You can contact us to request access, correction, export, deletion, or restriction of your personal information, subject to legal and operational limits.

10. Children and Junior Players

ElevateUT services are not directed to children under 13. Junior players may participate in disc golf events with appropriate parent, guardian, or event oversight. We may collect eligibility-related information such as date of birth when needed for divisions, junior protections, or sanctioned-event requirements.

11. Third-Party Links and Services

Our services may link to third-party websites or services, including payment processors, PDGA pages, maps, sign-in providers, event partners, or external support resources. Their privacy practices are governed by their own policies.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated policy on this page and update the "Last updated" date above.
